Data Deletion

This page explains how you can request deletion of your personal data processed by DialogHub (“we”, “us”), in accordance with Art. 17 of the General Data Protection Regulation (GDPR).

1. How to Request Data Deletion

You can request the deletion of your personal data at any time by contacting us via email:

Please include your account email address or any identifying information so we can locate your data. We will confirm receipt and process your request within 30 days.

2. Facebook and Instagram Data

If you connected your Instagram Business account to DialogHub via Facebook Login, you can request deletion of all Instagram-related data we hold. This includes:

• Your Instagram access token (immediately revoked upon deletion)
• Instagram direct messages processed through our platform
• Instagram comment data and comment-to-DM thread records
• Draft replies and opt-out preferences

You can also initiate data deletion directly from your Facebook App Settings by removing the DialogHub app. When you do so, we are notified and will delete all associated Instagram data from our systems.

3. What Data Is Deleted

Upon a verified deletion request, we remove:

• Your account and profile information
• Workspace configuration and setup data
• Conversation history and AI assistant interactions
• Lead records and scoring data
• Connected channel credentials and tokens
• Knowledge base and uploaded documents

4. Data We May Retain

Certain data may be retained after your deletion request where required by law, including:

• Tax and billing records:up to 10 years under German fiscal law (§ 147 AO, § 257 HGB)
• Fraud prevention data: limited records necessary to prevent abuse

Retained data is stored securely and used only for the legally required purpose.

5. Processing Timeline

We process deletion requests within 30 daysof receipt. If additional time is needed (e.g., for complex requests), we will inform you of the extension and the reasons within the initial 30-day period, as permitted under Art. 12(3) GDPR.

6. Confirmation

Once your data has been deleted, we will send you a confirmation email. If you do not receive confirmation within 30 days, please contact us again.
